Client: Interfaith Community Housing of Delaware (ICHDE)
ICHDE is one of Delaware’s leading community development organizations, with offices and residential sites across Delaware. The organization is Delaware’s largest and oldest community housing nonprofit, and manages complex statewide property, programmatic, and administrative operations in support of its mission.
By 2023, its technology ecosystem. ranging from on-premises servers to multi-site networks, had grown outdated and fragmented. Systems were siloed, slow, and difficult to manage. Remote work was cumbersome. File sharing and security were inconsistent. Decades of incremental IT decisions had created an environment where essential data was at risk and staff productivity was hampered.
The Challenge
ICHDE needed to modernize its entire IT environment, without interrupting daily operations or exceeding modest nonprofit budgets.
The immediate challenges included:
- Outdated on-premises Windows Server and a patchwork of unmanaged PCs and software.
- Lost administrative access to LAN and WAN infrastructure making upgrades and changes practically impossible
- Inconsistent Wi-Fi and frequent network dropouts.
- Costly, inefficient backup systems offering little to no actual resilience.
- Obsolete and expensive remote access methods, incompatible with modern security standards.
- Porous cybersecurity posture with wide lack of understanding of external threats and their impacts.
- Incomplete policies for cybersecurity, onboarding, and data governance.
- A dated, expensive Wix website with limited control and poor integration with modern tools.
- Miscellaneous inefficiencies and redundancies in every department’s IT systems and procedures
The project demanded a comprehensive digital transformation: technical, procedural, and cultural.
The Approach
Physics Services began with a full IT audit of every system: hardware, network, servers, applications, cybersecurity posture, and operational workflows.
A detailed findings report categorized every issue and opportunity into three tiers:
- Low-hanging fruit: fast, high-impact upgrades for performance and security.
- Urgent priorities: infrastructure and procedural risks requiring immediate action.
- Strategic roadmap: four structured waves of upgrades over two years, prioritized by urgency and ROI.
The Physics approach ensures transparency, predictable budgeting, and leadership buy-in, all of which are necessary for project success. Our approach also provided ICHDE with a repeatable framework for technology governance.
The Solution
Physics Services executed a multi-phase digital transformation encompassing infrastructure, software, security, and user experience:
- Cloud Migration: Retired the decades-obsolete on-prem Windows Server and migrated all file storage, identity, and collaboration systems to Microsoft 365. This enabled secure, organization-wide access of hundreds of thousands of files from any location.
- Endpoint Modernization: Standardized and upgraded all viable PCs to Windows 11 Pro, enabling profile portability and simplified device management. Replaced obsolete PCs with nonprofit-discounted hardware from HP and Dell, after assisting client to secure nonprofit status with those vendors.
- Financial System Transition: Migrated on-prem SAGE-50 from the legacy server to a modern, network-attached storage (NAS) platform for better reliability and backup.
- Backup & Disaster Recovery: Simplified backup strategy, eliminating costly third-party redundancy services in favor of secure, automated replication.
- Remote Work Modernization: Deployed a secure RustDesk remote access server hosted in Azure (which we procured for free for the client), providing encrypted, self-managed remote support at zero recurring cost.
- Network Overhaul: Reclaimed full administrative access to LAN/WAN infrastructure, redesigned VLAN segmentation, corrected misconfigurations, and resolved chronic Wi-Fi dead zones through a powerful and affordable new UniFi network.
- Physical Security Integration: Installed a UniFi Protect surveillance system, integrated with the network for real-time monitoring and future scalability.
- Governance Framework: Authored and implemented new IT policies, including cybersecurity protocols, onboarding/offboarding workflows, and archival procedures for former employees.
- IT Help Desk: Introduced a centralized ticketing and support system for staff, with clear escalation and accountability.
- Website Relaunch: Rebuilt and relaunched ICHDE’s website, migrating from Wix to WordPress, delivering new functionality, content flexibility, accessibility, and long-term cost savings.
Each phase was designed for maximum impact with minimal disruption, leveraging nonprofit discounts and open-source solutions where possible.
